Position Summary:   

Providing clerical support to both Health and Counseling Services, and welcoming clients/visitors to the Wellness Center. Supervise work-study student employees.


Essential Job Duties & Responsibilities:

  • Greet clients and visitors, respond to general inquiries, and provide referrals to appropriate resources. Receive, screen, direct and make telephone calls. Take and relay messages.
  • Coordinate confidential filing system and retrieve, return, and organize files.
  • Assist with Wellness Programs and other events coordinated by the Counseling or Health Services Offices. Prepare fliers and other forms of advertisement for said events.       Encourage students to participate in these events.
  • Coordinate input for Inside ODU and other means of relaying information to other areas of the University.
  • Provide clerical support for end of month/semester reports and presentations done by the wellness staff.
  • Prepare a variety of documents such as correspondence, manuscripts, proposals, tables, forms, and lists. Format documents according to specifications using standard computer applications. Verify for completeness and proofread for accuracy, grammar and spelling.       Compose routine correspondence.
  • Perform data entry to update records on computerized information systems.
  • Produce lists and reports using appropriate computer applications and programs. Keep up to date with and implement standard computer applications.
  • Maintain wellness staff's schedule in accordance to their independent needs which may include setting appointments and organizing schedules according to established priorities.
  • Work within clearly defined guidelines for filing and handling confidential records. Consult supervisor on non-routine issues.
  • Update Health & Counseling Website(s) as directed.
  • General care of the Wellness Center environment including regular care of office plants, general restocking of information pamphlets, and organizing office dcor in an esthetic manner.
  • Carry out routine administrative tasks such as taking inventory of and ordering office supplies, reserving meeting rooms, booking equipment and other services when needed.
  • Perform various other office functions such as sorting, filing or retrieving files or documents, photocopying and assembling documents, posting notices, and receiving, distributing, addressing and sending mail.
  • When needed, attend meetings, take notes, and organize and distribute minutes.
  • Other duties as assigned.



Education/ Experience:

  • High School diploma or the equivalent, with some formal clerical/computer training.
  • At least two years' experience in a professional work environment, with experience in a health/wellness setting, desirable.
  • Must demonstrate good written and verbal communication skills and interpersonal relations, as well as competence in Microsoft Office (Outlook, Excel, Word, and PowerPoint etc.), spreadsheets and databases.
  • Prior experience in a Wellness setting offering health and counseling services beneficial.
  • Must maintain confidentiality according to established guidelines.
  • Ability to meet deadlines and scheduling requirements.


Communication Skills/Requirements:

  • Ability to effectively communicate verbally and in writing as to work requirements, work in progress, work completion and status of departmental goals.
  • Strong interpersonal skills combined with a genuine concern for people, and the ability to listen and to relate with people of all ages and backgrounds are required for this position.
  • The ability to utilize active listening skills to ascertain areas of need, define problems, and determine possible solutions to meet expressed needs is also required.
